Initial Setup & Tracking

The time to get set up will depend on the level of detail you want to include, but here’s a general breakdown:
Client Profile Setup:
There are approximately 20 fields on the client profile page, including basic information (name, address, phone, email), personal goals, age, weight, and preferred workout schedule. Depending on the information you have available, this can take 1 to 10 minutes.Loading Your Gym (Exercises):
We provide a pre-built "Gym" in a spreadsheet format, which we will share with you. You can upload it in 2-3 minutes if you don’t need any customizations.If you’d like to make adjustments, we offer step-by-step instructions via our Support Portal or a live screenshare. We also have tutorial videos to guide you.
Bulk Loading Clients:
If you have a list of clients to load, we also provide a preformatted spreadsheet to bulk upload them. This process takes only about 1 minute.Setting Up Client Workouts:
Once your gym is set up, return to the client profile to schedule your first workout date(s). Defining the workouts themselves will take about 1 minute. Again, we offer video guides and can assist via screenshare if needed.
Total Setup Time:
For most users, the initial setup will take 10 to 20 minutes. If you’re bulk loading clients, the process is even faster. We’re here to assist you at every step, whether through self-guided resources or live support. -

Adding clients is simple. You can enter their details manually or easily upload multiple clients at once using a CSV file (a simple spreadsheet format). Not familiar with CSV files? No problem! We’ve got you covered with sample data, video tutorials, and screenshare support to guide you through every step of the process. Our team is always here to help you get everything set up smoothly!

Yes, you can fully customize your list of exercises in the app. Our team is here to help you organize exercises by name, group (e.g. Upper Body vs. Lower Body), by station names or equipment, etc … making it easier for you to quickly formulate your workouts. We can also assist you with uploading any "how-to" videos that support/reinforce each exercise. We’re here to guide you through the end to end process of setting up the Coaches Co-Pilot so that it functions properly for your business flow. Whether you're organizing exercises or making other adjustments, our team of experts will ensure everything is set up just the way you need.

Absolutely! The app can track any type of activity, including cardio, endurance training, and swimming.

It depends on what you mean by “custom workout plans.” We don’t include pre-set workouts in the app. Instead, you’ll load all the exercises your facility offers. We provide a comprehensive sample spreadsheet, which you can review, adjust to match your naming conventions, and delete any exercises you don’t offer. Once your exercises are loaded and organized, it will be easy to build and reuse workout plans for each client, focusing on areas like core, upper body, or lower body.
Let’s say you have a 6-week “Weight Loss” boot camp. You can store the entire plan in the Trainer’s Resource section, including exercise details, reps, and frequency for each week. When building client workouts, you can easily reference this plan and customize it as needed. If you need help with any of these steps, our support team is here to guide you through the process

Yes, the app does include scheduling related to managing client workout sessions. For each workout session, you’ll set a date and time, per client, which is connected to the app’s built-in calendar. If you’d like, you can also sync the built in calendar with Google or Outlook calendar. Then, if your Google or Outlook calendar is already synced to your iPhone or another device calendar, every scheduled session will automatically sync to your device as well. NOTE: if you need help with the syncing process or have any other questions, just let us know. We’re here to ensure you get maximum value from the Coaches Co-Pilot!

Yes, the app allows you to track client progress over time. For each exercise, there are placeholders where you can document notes on the client’s performance. For example, you might record something like, “Client completed 10 reps at 50 lbs, with good form, but struggled on the last set,” or “Client showed improvement in stability on balance exercises.” These notes help track individual exercise progress.
In addition, there’s another placeholder to document an overall summary of the workout. For instance, a trainer might write, “Client completed a full-body workout with focus on strength. Increased weights for upper body exercises, and improved endurance in lower body exercises.” These summaries give a clear picture of how clients are progressing in their overall fitness journey.
The app also comes with built-in reports that aggregate these exercise and workout summaries, giving you a quick, comprehensive view of your client’s progress over time. These reports not only help you adjust workouts, increase or decrease weights, and plan future sessions but also add a professional touch to your training. You can use these reports for mid-point reviews, sitting down with clients to go over their progress and discuss how to adjust their training to meet their goals.

No, clients cannot log their own progress in the app. This app is specifically designed for trainers to track and manage client information. You can document important notes, such as “Client is going on vacation for 10 days in March” or any other feedback provided by the client, but they do not have access to a login to view or edit their own data. You can share session details, review purchased sessions, go over session summaries, and discuss missed sessions during meetings, but the app remains solely under the trainer’s control. This allows you to keep track of everything while providing a more personalized and professional experience. If you need help with any of these features, our support team is here to assist!

While we don’t have a full nutrition tracking system, you can upload any number of meal plans to the Trainers Recourses section and share them across your clients.

Yes, as a trainer, you can take and upload progress photos to visually track your clients’ improvements over time. You can add dates, titles, and comments to each photo, making it easy to see changes and document key milestones. This feature also applies to videos. Videos should be uploaded to YouTube (where you can set them as private or public) and then exposed via our app. This is a great way to capture form improvements over time, highlight any areas for improvement, or demonstrate specific exercises. Photos and videos serve as valuable tools to assess and guide your clients’ progress. Yes, you can set goals and milestones for your clients, including tracking things like weight, food preferences, workout targets, and other important milestones. For example, you can set goals around weight loss, strength gains, or endurance improvements, and track progress over time. The app allows you to monitor these milestones, so you can adjust the training plan as needed to help clients stay on track.

Yes and No. Yes, you capture the amount your client paid, the date the paid and how many sessions they purchased. For example, if your client sends a Venmo or PayPal payment, simply create a new “Credit” record to capture amount. the method and the date paid. But NO .. the app does not include an eCommerce feature that enables you to swipe and process credit card payments.

Yes, we support integration with QuickBooks, FreshBooks, and other popular payment systems, but there are additional costs associated with this functionality. Reach out to our support team for support and guidance on how to set this up. Set up for this is just a few hours.

Payment processing is not built into the current version but can be integrated with third-party systems. If you leverage the Quickbooks Integration, with a little help from out team (at no cost to you, we can help you set up the integration, and the payments will automatically appear for your client, adding the new sessions purchased. Typically, there are additional costs associated with the apps that would enable you to make this connection.

Yes, it automatically tracks how many sessions a client has used, how many remain, how many sessions missed and how many times the client has been late. We’ve seen/heard clients talk about how this capability has helped them have discussions with their own clients about charging them for missed sessions. It’s easier when you can back up the discussion with documented dates and times of missed and or late sessions.

Yes, the app includes a scheduling feature that enables you to input the date and time of the workout session. This date and time syncs with the apps internal calendar which can then easily sync to your Gmail, Apple or Outlook calendar for seamless session and calendar management.

Yes, you can monitor performance metrics, track progress, and adjust programs as needed. Once you’re in the App you’ll notice that there’s a placeholder for the trainer to add comments per exercise, and also to summarize the overall workout. The Client Summary Report is organized to view all of your workout summaries, per client, in descending order of your workouts. This client summary report is a great tool for you to sit down and review directly with your clients.
